Start With a Game-Plan (That Lives in One Place)

It’s tempting to jot everything down on whatever’s nearby—a napkin, a text to yourself, maybe an email—but that’s exactly how things fall through the cracks. Try using a digital management tool or app (there are loads these days, from basic Google Sheets to slick platforms like Buildium or AppFolio). The important part? Keep it all in one spot. Maintenance requests, leasing info, schedules, and contact lists—if you can pull them up with a quick search, you’re halfway ahead of the game.

Calendar Everything—And Actually Check It

Whether you’re a fan of the classic wall calendar or live by your phone’s reminders, the trick is to make it a habit. Set recurring events for regular inspections, utility bill due dates, lease renewals, and routine contractor visits (yes, even for things like annual commercial roofing services). Color-code if you like—whatever gets your attention and gives you a heads-up before things spiral.

Maintenance Log = Your Secret Weapon

Don’t Forget About You

When you’re managing chaos for others, it’s easy to forget your own time and mental space aren’t endless. Build in regular breaks if you can, and delegate when possible. Even superheroes need a day off—and you’ll be sharper for it the next time that after-hours call wakes you up.
